How to Close a Job / Project in Apex Business
When a job ends, there are a couple of updates that need to be done to the Project in Apex Business:
Step 1: Select 'Closing' Status
Begin by selecting 'Closing' status and clicking on 'Mark as Current Stage' to indicate the project is ending:
Step 2: Action the Project Closure Tasks
On the project page, under the section 'Project Closure', is a list of tasks that need to be done prior to fully closing a project:
Closed Reason
State the reason the job is being closed, usually 'Project Delivered Successfully'
Confirm Final Invoice Sent
Ensure you have approved and billed any outstanding timecards, expenses or milestones. You can see any outstanding items by clicking on 'Project Billing' under the Actions tab on the right-hand side of the project page and seeing if any entries show up to be billed. If there are entries, please contact Finance to create an invoice.
Seek Client Feedback
Either via an in-person meeting or email, invite the client to provide feedback on the project using the feedback link under the 'Feedback' tab on the project page:
Case Study Complete
Ask the staff members that delivered the project to write a case study and submit it to the Client Engagement Team for future bids.
Capture Knowledge Management
Ensure all project documentation is stored under the 'Documents' tab on the project page, and any other use information such as frameworks or precedents are captured into Knowledge Management. See Information Management Framework.pdf for more information.
Step 3: Close the Project
When all above steps are done:
- On the 'Details' tab of the project page, untick 'Active'
- Click 'Save'
- Select 'Closed' status and click 'Mark as Current Stage'
Note: Closing Assignments
