When you have a phone call or meeting with a client, please record it in Apex Business to build up our relationship knowledge of clients and allow other Proximity staff to easily gain context before they interact.
To record activity there are two steps:
- First, go to the record you wish to log the activity against (either a client or a person)
- Secondly, record the activity under the Activities section
Step 1: Navigate to a client record
If your activity was to do with a client in general (e.g. Department of Defence), log the activity on the Account record. If you know the name of the client, the easiest way to find them is to search. If you're unsure, you can manually find them in a list.
Find client via search
- In Apex Business, click into the search box and type the name of the client
- Ensure you click on the search result with the word 'Account' under the name
Find client via list of clients
- In Apex Business, click on the 'Accounts' tab
- Click on the drop-down list and select 'All Clients'
- Find the client you wish to update in the list and click on them
Step 1: Navigate to a person record
If your activity was to do with a particular person at a client (e.g. John Smith at Department of Defence), log the activity on the Contact record. If you know the name of the person, the easiest way to find them is to search. If you're unsure, you can manually find them in a list.
Find person via search
- In Apex Business, click into the search box and type the name of the person
- Ensure you click on the search result with the word 'Contact' under the name, and the relevant client
Find person via list of people
- In Apex Business, click on the 'Contact' tab
- Click on the drop-down list and select 'CRM Contact'
- Find the person you wish to update in the list and click on them
Step 2: Log a BD Activity on the record
Once you've found the relevant client or person it Step 1 above, log your BD activity:
- Under the 'Activity' section on the right-hand side of the page, click on the teal phone icon to 'Log a BD Activity'
- Fill in the popup form and click 'Save'
- In 'Subject' pick the type of activity, e.g. Call or In-Person Meeting
- In 'Comments' put a couple of sentences to summarise what occurred during the activity and any outcomes
- In 'Name'
- For a person, this will be auto-populated with the person's name
- For a client, you may optionally add a person at the client to relate this activity to them as well
- In 'Related to'
- For a person, you may optionally add a client to relate this activity to that client as well
- For a client, this will be auto-populated with the client's name
